Auction Procedures

Hi everyone! Thank you so much for participating in the Fandom Loves Puerto Rico fundraiser - whether you're a creator, bidder, or have helped spread the word on social media! (or all three!) I wanted to go over some nitty gritty details with everyone.

UPDATE: Special Art Auction
The original art auction, featuring work from Son of a Saint and Atra Messor, will begin at noon EST on October 24, 2017, and close at midnight on October 29,2017. Due to the fragility of the pieces, the individuals with the winning bids will be responsible for shipping costs. The auction is here.

Sign Ups Ending
The sign up sheet will be open until 3pm EST, Sunday October 15th. At this point the sign up post and Buy It Now! pages will be set to private, so that no new comments can be added. All comments or questions should be redirected to the Master Post.

This is to give me enough time to get all auction items recorded, and over to new pages. I'll be moving each auction item to its own thread, to ensure there's no confusion over multiple items being bid (for example, if a creator has offered "1 fic x 5,000 words" and "3 fics x 500 words" then they will have two auction items (i.e. comment threads).


Auction Opening & Closing
The auction will go live at 9am EST, Tuesday October 17th. The full indexed list of creators, indexed fanfic list, and indexed fan art list have been updated for reference. The links point back to the sign up sheet, which is why they're for reference only; bids must be placed on auction posts in order to be considered valid. All offerings will be grouped together on the auction post; the link will go to the first item only. We encourage you to scroll down to find their other items.

The auction will continue until 6pm EST, Monday October 23rd. At that time, the auction posts will be screened to private to bring all bidding to a close. The posts will unscreened after 1-2 hours. At that point, the winning bidders will start to receive a reply to their posts informing them that their bid has won, and further instructions. It will take up to a few days to go through and notify all winners; you're welcome to come back to the post to see if you've won, but please do not comment any further on any comment thread unless you are the creator.

The notification comment will contain the creator contact information that was been provided to me (either on the sign up sheet or via direct message on DW/tumblr). If you provided an email address, we will put spaces in the address to make it less recognizable (i.e. hansbekhart at gmail dot com) but if you're not comfortable with this measure please provide an alternate way for your bidders to contact you.

If the auction item has more than one of the same item (i.e. 3 x pencil sketches) and your bid is one of the highest 3, you've won. For posts with multiple items, but more identical bids than number of items, preference will be given to the earlier bids.

Proof of donation to ConPRmetidos (a receipt or screencap of receipt) must be supplied directly to the creator within THREE WEEKS of the auction close, or by November 7th. Do not post proof of donation directly to the community, or anywhere public. We recommend that you block out any identifying information on the information you send to your creator, as well. Email hacks happen all the time these days, and you don't want any more private financial information out in the world than necessary.

It is the responsibility of the bidder to get in contact with the creator, and provide donation proof to them. The Fandom Loves Puerto Rico mods (which is mostly just me, guys) will not chase down anyone once we've notified you that you've won an auctioned item.

Creators should come back to the relevant auction thread and update with donation information. They can also notify me of the donation via tumblr messenger or my askbox. This is so I can keep track of the total amount raised.

We will be following up with all creators that haven't confirmed donation around November 7th. If they haven't received their proof of donation, the runner up of the auctioned item will be contacted to see if they would like a chance to make a donation in the amount of their last bid, to receive the item.

The fundraiser will not be establishing a deadline for creators to finish their items. All estimated delivery/posting dates must be worked out between the bidder and creator. The fundraiser will also not be involved in any shipping/handling of physical goods; all details as to who covers shipping must be worked out between the bidder and creator.

If the bidder approves, please post your creations to the AO3 Fandom Loves Puerto Rico collection. If you are posting a link to your item on tumblr, you can send it directly to me (hansbekhart) and I'll reblog.


Buy It Now! Event
The Buy It Now! Event will not be reposted; the event will go live on the existing page at 9am EST, October 18th, and run until 6pm EST, October 19th, or until we run out of items. First come, first served! You have the same three weeks to provide proof of donation.

I'll answer questions as quickly as I can, but I'll be traveling and otherwise occupied on certain days; on those days I'll have a friend step in for me, but if you don't hear back from anyone quickly, please be patient.

Just curious - is there a reason you've decided the buy it now page will only be open for bids for a day and a half? Seems like you might raise more funds if people have more time to bid :-)

It's literally just based on my schedule, tbh; my real life obligations this week are sort of hilariously intense. If there are still a bunch of items unsold on the 19th I'll see how it goes.

Also the auction will run for a full week, so there's plenty of time to bid on the auction list, which is much larger!

It's listed as a crossover with "Bletchley Circle" and those should be two separate titles with my individual and then the group offering listed under each. They're in the art section - the link that goes to each name only shows the FIRST item, as explained in the body of the post. (One way you can tell if an artist or writer has multiple entries is if there's a description in the comment ... people who only have 1 offering just have their screennames). So please scroll down from Alby's name to find the second offering.

Hi, just writing because not all my offerings are under one thread. I offered drabbles, short fics, and medium length fics, but when you click my name, only the medium and short length show up, not the drabbles. They do all show up if you just click on all 500+ comments and go to the page, they're in a row, just not under the thread for my name.

ETA: actually only the medium length fic shows when you click my name, neither of the other offerings do.

Also, I wanted to know about potentially adding a longer fic or doing something in the buy it now for a bidder who wanted a guaranteed higher word count that what I've offered, and is willing to pay more.

Hi, yeah - it's only possible to link to one individual comment. In hindsight it might have been better to do one leading comment, and then thread the other offers as replies, but tbh I worried about the comment threads getting messed up and it being unclear what was actually being bid on.

You can go ahead and add whatever you like to the Buy It Now event.

It looks like my physical listings are all up, but I couldn't find anything for editing/beta-reading services except the list in the main auction post; I did look through all the comment pages, although it's completely possible I missed something.

For the physical items, my signup had a few links that are pretty important for letting people see examples and my Etsy shop--could you reinsert those? Thanks so much!

Hi! It's possible that I just missed something, but ... if a participant offers three separate items in the auction, will there be an equal number of bidding posts? Or will you be keeping track some other way? Thanks! :)

An equal number of posts. I think having the linked names in the fic and art sections may be confusing to people, since it only goes to the FIRST one (I was dismayed to discover that a link will go only to that comment, not to that comment's place in the post, so you can scroll down to see more; but ultimately decided that the single item/single thread was better because 1) most creators did only offer 1 item, 2) having a linked list seemed like a good idea to more easily find people, and 3) I didn't want threads to get tangled so it wasn't clear what people were actually bidding on.

Pro tip: if there's a description of the item beyond the basic category (i.e. 3-5K fic, Knitting Tutorial, something like that), then there's more than one item being offered by that creator.

First of all, thank you for organizing this, and thank you to everyone who's put themselves out there to provide offerings!

Second, I've gone through the offerings and I've bid on a number of items. It's doubtful I'll get all of them, but in all likelihood, I'll get a few. Can I make a single donation covering everything I win, or do I need to do a separate donation for each one? I was thinking one donation cuts down on the administrative work of ConPRmetidos, but I'm amenable to making donations whichever way makes sense.

Hi!

First off, thank you for all your hard work in the effort. Fandom is a powerful, amazing thing!

I made a donation, I have proof, but my creator has not responded. I made contact on Oct 24th. The only way to communicate was through the tumbler site provided which has not been active in weeks. Same as A03.

Were e-mails a requirement for sign-ups, and if so, would there be a way to get one from the creator through your DM?
